Privacy Policy

ScentEvent Inc, doing business as AutoTextBack (“AutoTextBack”, “we”, “us”), runs AutoTextBack, a call screening, call forwarding and automatic text-back service for businesses at app.autotextback.ca. This policy explains what personal information we collect, why, who we share it with, and the choices you have. It covers our customers (the businesses that sign up) and the people who call or text our customers’ AutoTextBack numbers.
1. Information we collect
- Account information: your business name, email address and password. Passwords are stored only as a one-way hash, so we can’t read them.
- Billing information: payments are handled by Stripe. We keep your Stripe customer and subscription IDs and your subscription status. Your card details go directly to Stripe; we never see or store them.
- Service settings: your AutoTextBack numbers, the phone number calls are forwarded to, your text-back message and your preferences.
- Calls to AutoTextBack numbers: for each call, the caller’s phone number, the time, the carrier the number belongs to, its line type (for example mobile, landline or VoIP) from a caller lookup, the caller-ID verification result, what happened to the call (forwarded, answered, missed or screened), whether a text was sent, and the call’s length in minutes.
- Texts to AutoTextBack numbers: when a caller replies, the message is passed through to the business’s phone. We keep the sender’s number and the time (to enforce daily limits) but not the message itself. Our phone provider, Twilio, keeps its own records of calls and messages.
- Technical information: the IP address and browser type of signed-in sessions, used to keep accounts secure and to limit repeated login attempts. We also use your approximate location (city), based on your IP address, to suggest local phone numbers; we don’t store it.
2. How we use it
- To provide AutoTextBack: screen and forward calls, send text-backs, relay replies and show your call history.
- To bill you and manage your subscription.
- To keep the service secure and prevent fraud and abuse.
- To send you service emails, such as email confirmation and password resets, and to answer your questions. We don’t send marketing emails without your consent.
We don’t sell personal information, and we don’t use advertising or tracking cookies or third-party analytics.
3. Who we share it with
We use these service providers, who process information on our behalf and only for providing their services to us:
- Cloudflare: hosting, database and email delivery.
- Twilio: phone numbers, calls, text messages and caller line-type lookups.
- Stripe: payments and billing.
These providers may store and process information outside Canada, including in the United States, where it may be accessible to courts and authorities under the laws there. We may also disclose information when required by law.
4. How long we keep it
- Call history is deleted automatically after 180 days.
- Caller line-type lookup results are kept for 30 days, and reply-limit records for 2 days.
- Account information is kept while your account is open. When you ask us to close your account, we delete your account information and call history within 30 days, except billing records we’re required to keep for tax and accounting purposes.
5. Cookies
We use one cookie to keep you signed in, and your browser’s session storage to remember settings while you set up a number. Both are needed for the app to work. We don’t use any other cookies.
6. Security
All connections use encryption (HTTPS). Passwords are hashed, credentials for our phone provider are encrypted, and access to customer data is restricted. No system is perfectly secure, but we work to protect your information and will notify you and the Privacy Commissioner if a breach creates a real risk of significant harm.
7. Your choices and rights
You can ask to access, correct or delete your personal information, or close your account, by emailing hello@autotextback.ca. We’ll respond within 30 days. If you’re not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada.
8. If you called or texted a business that uses AutoTextBack
We process your call and text information on behalf of that business, which decides how it uses your information. To stop receiving texts from an AutoTextBack number, reply STOP. To ask about your information, contact the business, or email us and we’ll help.
9. Changes to this policy
We may update this policy. If a change is significant, we’ll email customers or tell them in the app before it takes effect.
